Email Deliverability: How to Stay Out of Spam in 2026
Deliverability Is Won Before You Hit Send
Whether your email lands in the inbox is decided by three things: your domain's technical setup, your sender reputation, and your list quality. Content matters less than most people think — but the first two are non-negotiable. Master them and even cold campaigns to purchased lists can sustain 95%+ inbox placement.
Technical Setup: SPF, DKIM, DMARC
These three DNS records tell receiving servers your mail is legitimate:
- SPF — lists which servers may send for your domain. One TXT record; without it you fail most spam filters instantly.
- DKIM — cryptographically signs each message proving it wasn't altered. Enable it in your ESP or mail server.
- DMARC — tells receivers what to do when SPF/DKIM fail, and gets you reporting. Start with
p=noneand monitor.
Gmail and Yahoo require all three for bulk senders. Verify yours with any free DNS checker before your first campaign.
Use a Separate Sending Domain
Never send cold volume from your main company domain. Buy a close variant (yourbrand-mail.com, tryyourbrand.com), set up the DNS records, and protect your primary domain's reputation. If the sending domain gets burned, you replace it for $10 — not your business.
Warm Up Before You Blast
New domains and inboxes have zero reputation. Sending 5,000 emails on day one is the fastest way to the spam folder. A safe schedule per inbox:
- Week 1: 10–20/day
- Week 2: 30–50/day
- Week 3: 75–100/day
- Week 4+: 150–200/day ceiling per inbox

List Hygiene: The 2% Rule
Keep your bounce rate under 2% — above that, providers start junking everything you send. Before every campaign:
- Run the full list through an email verifier (checks syntax and dead domains free)
- Remove role addresses (info@, admin@) for cold outreach
- Suppress previous bounces and unsubscribes religiously

Content Rules That Still Matter
- Plain-ish text beats heavy HTML for cold email
- One link maximum in a first touch; no attachments, no link shorteners

- Include a physical address and working unsubscribe (CAN-SPAM requirement)
- Personalize the first line — filters and humans both reward it
Monitoring and Recovery
Watch opens by domain: if Gmail opens collapse while Outlook holds, Gmail has flagged you. Pause 3–5 days, cut volume 50%, and re-verify your list. A fully burned domain is cheaper to replace than to rehabilitate — swap it, keep the lessons.
